What it does

Filing IFTA by hand means digging through trip sheets and fuel receipts every quarter and hoping the math holds up. This spreadsheet does the arithmetic for you. Log each state segment and each fuel stop as you go; at quarter end, type in that quarter's rates and the Quarterly Summary shows exactly what goes on each line of your return.

  • Fleet MPG for the quarter (total miles ÷ total gallons bought, all jurisdictions)
  • Per jurisdiction: total miles, tax-paid gallons, taxable gallons, net taxable gallons, rate, tax due or credit, optional surcharge, and total
  • Big-number KPIs: fleet MPG, total miles, gallons purchased, tax owed, credits owed to you, net tax due / (credit)
  • Pick any quarter and tax year: the return due date, days-until-due countdown and filing status (Open / Due Soon / Past Due) update automatically — nothing in the file assumes a year
  • "Active jurisdictions" view lists only the states and provinces you actually ran, so the lines you need are at the top; the full 59-row table is right below
  • Flags: any active jurisdiction with no rate entered shows a "rate?" marker; mis-typed state codes and a Rate Table set to the wrong quarter are called out before you file
  • Trip Log and Fuel Log fill in the quarter from the date; jurisdiction and truck # are dropdowns you can extend

What's included

  • 1 Excel workbook (.xlsx) with 6 tabs: Start Here · Quarterly Summary · Trip Log · Fuel Log · Rate Table · Jurisdictions
  • Trip Log (500 rows, one row per state segment, optional odometer check) and Fuel Log (300 rows with $/gal) — insert rows inside the log for more; the summary flags anything typed below the log
  • Rate Table for all 48 contiguous states, DC and the 10 Canadian IFTA provinces, with a rate column and surcharge column left blank for you to fill from iftach.org/taxmatrix each quarter (rates change quarterly and are not included)
  • Jurisdictions tab with the dropdown lists, the IFTA quarter due-date rules and a 10-truck list
  • One realistic example quarter already filled in (one truck, 85 trip segments, 26 fuel stops) so you see a working summary on first open — replace it with your own
  • Start Here tab with 6 steps, a color legend and a version line
  • Instant digital download — no subscription, no macros

How it works

  1. Download the .xlsx and open it in Excel, or upload it to Google Drive and open with Google Sheets.
  2. Log trips (one row per state or province) and fuel stops in the orange cells as you run.
  3. When the quarter ends, look up that quarter's rates at iftach.org/taxmatrix and type them into the Rate Table.
  4. Open Quarterly Summary, pick the quarter and year, and copy the active-jurisdiction lines onto your base state's IFTA return.

Who it's for

Owner-operators and small fleets (1–10 trucks) who file their own IFTA return or want a clean, checkable worksheet to hand to their accountant. Dry van, reefer, flatbed, tanker — the math is the same.

Questions

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets (File → Import). Every formula, dropdown and color is standard and works in Excel 2016 or newer, Excel for Mac, Excel 365 and Google Sheets.

Are the tax rates included?

No, on purpose. IFTA rates change every quarter, so the Rate Table ships blank with the instruction to enter the current quarter's rates from iftach.org/taxmatrix. The summary shows "rate?" next to any jurisdiction that still needs one, and warns you if the rates noted on the Rate Table are for a different quarter than the one you're filing.

What is the refund policy?

Digital files can't be returned once delivered. If something in the file doesn't work as described, message us with the tab and cell and we'll fix it and send the corrected file — or refund you if we can't.
