What it does

Most owner-operators find out what they made at tax time. This spreadsheet tells you every month. Log each load on the Income tab and each expense on the Expenses tab (category dropdown, how you paid, truck #), type your monthly miles, and the Dashboard shows where the money went — by month and year to date — plus a quarterly tax estimate so the bill never surprises you.

  • Twelve live KPIs: net profit, net revenue, expenses, profit margin, revenue per mile and expense per mile for the year to date, and net profit, revenue, expenses, margin and profit per mile for any month you pick
  • Expenses by category — 28 trucking categories, each mapped to a Schedule C line label you can rename or re-map
  • Top 5 expense categories (LARGE / INDEX / MATCH ranking) and a 12-month view of net revenue, expenses, profit and margin
  • P&L snapshot: gross revenue, factoring fees, net revenue, expenses, net profit, miles and profit per mile — month vs. year to date
  • Income log tracks linehaul, fuel surcharge, accessorials and factoring fee per load, with Paid Y/N, paid date and days outstanding (unpaid invoices over 30 days turn red)
  • Quarterly Tax Estimate: annualizes your taxable profit, figures self-employment tax (92.35% × 15.3%, both editable) and income tax at the federal and state effective rates you type, then divides by four — with the four federal estimated-tax due dates
  • Deductible % per category (loan principal 0%, DOT per diem 80%) so the tax estimate uses deductible expenses, not just cash out
  • Pick any tax year and month — nothing in the file assumes a year

How it works

  1. Download the .xlsx and open it in Excel, or upload it to Google Drive and open with Google Sheets.
  2. Look over the Categories tab, then clear the example rows and log your own loads on Income and expenses on Expenses as they happen.
  3. Type each month's loaded and empty miles on the Mileage Log.
  4. Open the Dashboard, pick the month, and read the numbers; check the Quarterly Tax Estimate before each estimated-tax due date.

Who it's for

Owner-operators and small fleets (1–10 trucks) who want real monthly numbers without accounting software, and a clean file to hand their tax pro in January. Dry van, reefer, flatbed, hotshot — the categories fit any trucking operation.

Questions

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets (File → Import). Every formula, dropdown and color is standard and works in Excel 2016 or newer, Excel for Mac, Excel 365 and Google Sheets.

Can I change the categories or the Schedule C mapping?

Yes. Every category name, Schedule C label and deductible % on the Categories tab is an input. The Expenses dropdown and the Dashboard follow the list automatically, so rename or re-map them to match how you and your tax pro file.

What is the refund policy?

Digital files can't be returned once delivered. If something in the file doesn't work as described, message us with the tab and cell and we'll fix it and send the corrected file — or refund you if we can't.
